1. Information we collect
We receive, collect and store any information you type into our website forms or hand to us in any other way. That includes your name, e-mail address, phone number, postal code, event date and venue, photos or colour references you upload for mood-boards, and any written messages or feedback you send. When you pay a deposit or balance online we record the transaction ID, cardholder name and last four digits of the card; the full card number stays only with Stripe or PayPal.
Like most sites, we automatically log technical data: your IP address, device type, operating system, browser version, referring page, pages you visit, time spent on each page and how you interact with buttons or forms. This is captured through Wix’s analytics, Google Analytics and the Meta (Facebook) Pixel.
2. How we collect it
-
Directly from you - when you complete a quote or booking form, attach images, chat with us by e-mail or phone, or post a review.
-
Automatically – through cookies, pixels and server logs that run the moment you land on our pages.
-
Via partners – if you come to us through a photographer, venue or planner they may pass us your basic contact details and event date so we can prepare a proposal.
3. Why we collect it
We need your personal data to draft quotes, secure your event date, process payments, send reminders, coordinate delivery, issue invoices and comply with Canadian tax laws. Those uses fall under “contractual necessity” and “legal obligation.” We also analyse aggregated traffic to improve page speed, gallery load times and search-engine ranking; that is our “legitimate interest.” Marketing e-mails or SMS messages are sent only if you have opted in; you can revoke that consent at any time.
4. Where we store it and who sees it
This site sits on Wix.com infrastructure. Your information is held in Wix databases behind a firewall, protected by TLS encryption in transit and restricted staff access at rest. We share data only with trusted processors that help us run the business—Stripe, PayPal, Google Analytics, Meta Pixel, Wix Bookings and occasional contract delivery crews—each bound by confidentiality and data-protection agreements. We never sell or rent your personal data. Records are kept for seven years to satisfy CRA bookkeeping rules, then securely deleted.
5. How we communicate with you
You’ll hear from us by e-mail, SMS or phone to confirm bookings, arrange logistics, send invoices or request post-event feedback. Promotional messages (no more than twice a month) are sent only if you said yes to marketing. Every marketing e-mail has an unsubscribe link; every SMS accepts STOP to opt out. Service messages tied to an active booking remain mandatory.
6. Cookies and tracking tools
Essential cookies keep the site secure and let booking forms work. Analytics cookies (_ga, _gid, etc.) help us count visitors and spot broken pages. The Meta Pixel shows whether our Instagram and Facebook ads bring real enquiries. You can block or delete non-essential cookies in your browser settings or via the banner that appears the first time you visit.
7. Your choices and rights
You may request a copy of the personal data we hold, ask us to correct inaccuracies, withdraw marketing consent or tell us to erase information that is no longer required. To do so, e-mail yellowwheelsart@gmail.com.
8. Policy updates
We review this notice at least once a year. Any major change is posted here and flagged on our homepage. Continuing to use the site after a revision means you accept the updated terms.
Questions? Shoot us an e-mail at yellowwheelsart@gmail.com - we’re serious about great parties and serious about your privacy.
